Job Description:
Position Overview: The Payroll Administrator will be responsible
for overseeing the payroll function, ensuring all employees are
paid accurately and on time. This role involves managing payroll
processes, maintaining payroll records, and ensuring compliance
with all applicable laws and regulations. The Payroll Administrator
will also be responsible for resolving payroll issues and providing
support to employees regarding payroll matters. You will work
closely with HR team members, management, and other teams to ensure
the proper payroll practices are in place for the company.Key
Responsibilities
- Payroll Processing: Administer and process semi-monthly and
bi-weekly payroll for all employees, ensuring accuracy and
adherence to company policies and legal requirements including new
hires, terminations, changes to pay rates, bonuses or other special
payments. Processes payroll transactions including benefits,
garnishments, taxes, and other deductions. Review and verify
payroll data, including timekeeping records, wage calculations, and
deductions.
- Record Maintenance: Maintain accurate and up-to-date payroll
records, including timekeeping data, payroll deductions, benefits,
and tax withholdings. Maintains or oversees the maintenance of
employee records.
- Reporting & Compliance: Generate, review and distribute payroll
reports to management and accounting as required. Oversee payroll
tax reporting and compliance, including year-end activities (W-2s
and 1099s). Ensure payroll processing complies with federal, state,
and local wage and hour laws, tax regulations, and company
policies. Stay updated on changes in payroll laws and regulations
and implement necessary changes to payroll processes.
- Issue Resolution: Address and resolve complex employee payroll
issues, inquiries, and discrepancies promptly and professionally
related to payroll.
- Audits & Payroll-Related Projects: Prepare for and participate
in payroll audits to ensure accuracy and compliance. Assist with
payroll-related projects working independently with limited
supervision as needed.
- System Maintenance: Update and maintain payroll software/system
to ensure data integrity and identifies and recommends changes to
payroll software, systems, and procedures as well as assisting in
the implementation process of software/ system updates/changes.
This includes keeping profiles and access permissions to date.
- Process Documentation: Oversee documenting payroll SOPs and
maintaining all current processes for a successful distribution of
payroll.
- Collaboration & Support: Work closely with HR, Finance, and
other departments to coordinate and improve payroll processes,
support employee onboarding and offboarding, and assist with
benefits administration as it relates to payroll. Coaching and
reviewing the work as needed of the HR Coordinator on Payroll
related items.Required Qualifications:
- Bachelor's degree in Accounting, Business Administration,
Finance, Human Resources, or related field (or equivalent work
experience).
- Minimum of 3 years of experience in payroll administration or
processing
- Certified Payroll Professional (CPP) certification is a plus.
Key Skills/Competencies
- Technical Proficiency: Proficiency in payroll software and
systems (e.g., ADP, Workday, or other similar systems) and
Microsoft Office Suite, especially Excel.
- Knowledge of Regulations: Strong understanding of federal,
state, and local payroll tax regulations and wage and hour
laws.
- Attention to Detail: Exceptional accuracy and attention to
detail in all payroll processing and record-keeping
activities.
- Problem Solving: Effective problem-solving skills with the
ability to identify issues, evaluate options, and implement
solutions quickly and accurately.
- Confidentiality: Demonstrated commitment to maintaining
employee confidentiality and handling sensitive information
responsibly and with discretion.
- Communication: Strong written and verbal communication skills
to effectively address employee inquiries and the ability to
communicate well with employees at all levels.
- Organization: Strong organizational and time-management skills,
with the ability to manage multiple tasks and deadlines.
- Customer Service Orientation: Demonstrated ability to provide
excellent customer service in a fast-paced environment.Preferred
Skills:
- Certification such as Certified Payroll Professional (CPP) is a
plus.
- Experience with ADP payroll system.
